Finding time to do things can be hard, especially when you’re in a job that pays well and gives you lots of responsibility.
If you have a lot of commitments outside work, it becomes even harder to find time to do what you want to do.
In this article I will share with you three different time management systems that can help you get control over your time so you don’t spend all day every day doing things that make you feel tired and un-focused on other areas of your life.
These time management systems are not for someone who is busy enough as it is; they are for people who think they could use some help managing their time. They are also good if you are always too busy and need a break.
I will talk about how each system works, which one seems most practical for you, and then I will give you my opinion on whether these apps are worth spending money on.
The little things that matter
In my latest time management system review, I want to talk about what this app calls “priorities”. I will get into more detail as to why they are important later in the article.
I wanted to give you some examples of how people have organized their lives using this feature in Anki. You can probably relate to at least one of these!
The first example comes from Sean, who made two videos for his organization technique. One is titled ‘Track Your Life’ and the other is called ‘Take A Look At My Book Organizer’.
In both cases he uses the priorities feature to help organize his life. By assigning values to each item, he was able to create an index of all of the items in his life. This gave him insight into not only which areas of his life were spending the most time, but also what he needed to focus on in order to make progress.
He also used it to track what he had done during different times throughout the day so that he could see where his time went and find ways to save money by looking for opportunities to do less expensive or free things.
Sean says that while tracking his daily activities was initially helpful, the next step was to use the data he gathered to make changes. He notes that it took a few days before results really started rolling in.
Multitasking is the devil
In our increasingly digital world, people have become very dependent on technology. Technology has made us so connected that we lack basic skills in socialization and communication beyond staying up all night to chat with friends online or texting instead of calling someone back.
We also depend heavily on technology for work. Since most of us now have access to almost unlimited resources through Google and YouTube, finding ways to optimize our productivity does not require outside help researching products or figuring out how to do it ourselves.
Furthermore, many of us rely on technology to keep in touch with loved ones, which can be a good thing, but if you are not careful it can lead to more distractions and less time spent together.
Multitaskers say that by doing this they feel like they are being productive, but what they really are is creating more opportunities for things to go wrong. Because they are spending time working on several tasks at once, there is no clear start and end to each project, making it harder to determine when to put away your tools and leave.
This overwork often leads to poor quality work or nothing getting done at all because you just give up. Starting to prioritize and organize your life will hopefully eliminate these bad habits.
Break down big projects into little tasks
A good time management system is not one long task, it is a collection of small tasks that are linked together. When you break down your project into smaller pieces, you can more easily focus on each piece separately and keep track of them all.
This way, you will also have to work with each individual piece less frequently, so there is less stress caused by having to stay in close contact with them. It also helps if they use the same time frame as you for planning their part of the job, giving you an idea of how much time they expect to spend on it.
You could even create milestones or deadlines for themselves, which help maintain momentum. Once they hit this deadline, they must be sure to complete what they were working on before moving onto the next stage.
Planning your work in advance
A good time management system involves planning out all of your tasks ahead of time and then sticking to that schedule! This way, you will know what you have and have no excuse for not starting them because you planned them before.
Planning is the key here as it helps you stay organized and on track. You can use any kind of tool to do this- either an app or notebook page with notes and dates.
You could make a list or diagram of every task and when it should be done, but instead I would recommend using an order by date method.
This way, you organize everything into sections according to when they are due and then go back through and see if there is anything new since last week.
Sprints are not a panacea
While planning out your weekly or monthly sprints is a great way to organize your time, you must remember that it does not work for every person. Some people cannot handle the pressure of having a set amount of time each day where they can truly focus only on one project.
For these individuals, using a sprinting method would be very frustrating. You will have to find different ways to manage your time if this happens.
The classic approach to managing time is something called “planning”. This means developing strategies and systems for yourself to use in order to get things done. It could be making an appointment with someone to meet later in the week, or organizing all of your materials according to what subject you should be studying next.
A lot of people think that being more productive means staying in front of your computer or device all day long without a break. But this is not a good way to manage time effectively.
Breaking up your work into small chunks can actually help you achieve your goals much faster. You will be less likely to spend hours doing simple tasks, because you’ll need to take a short break after each one.
Start by establishing a routine for getting out of bed every morning. Then, plan other activities — like having breakfast, going to the bathroom, grabbing a shower — before starting your job.
At the end of the day, make sure you leave the house with everything you’ll need for the next day. This helps you avoid rushing through the subway station or parking garage to get somewhere.
Once you have this down, you’re ready to begin breaking up your workload.
A time management system (or TMX for short) is designed to make you feel organized, empowered, and able to accomplish your goals and dreams!
Time management systems create automated routines that help you get things done. For example, when you wake up in the morning, your TMX-system automatically starts organizing your day. It may also give you recommendations for next steps or assignments, depending on what you are doing at the moment.
There are many ways to design your own personal TMX. Some people start with an appointment scheduler first, then add some notes, and eventually link it all together in one easy-to-use software package.
Other individuals begin by recording their daily activities under different categories, such as ‘Work’, ‘Personal’ and so forth. Only then do they write down individual thoughts, actions, and events within each category.
Learn to prioritize
A lot of people get overwhelmed with all of the tasks that they have to do every day. They feel like they are constantly in motion, trying to find time to complete everything.
In fact, most people spend more time thinking about what they need to do next than actually doing it. You have to learn how to prioritize so that you can focus your energy on the most important things.
This will help you achieve your goals and reduce stress. It also helps keep yourself organized as you know where your next actions should be.
You may already use some types of prioritizing in your daily life, for example, deciding whether to go to work or school first, choosing which projects at work you should take on, or deciding whether to make lunch instead of ordering food.
The hardest part is realizing that not everyone else has this system and figuring out what works for you is personal, so don’t compare yourself to others. Simply choose one task that needs to be done and then move onto the next one.
